Offer FAQ sections

Provide your customers with immediate answers to their questions. Posting frequently asked questions on a section of your website would not only make information more accessible but will also lighten the load of email you receive. Rather than receive the same questions from customers time and time again, direct people to your FAQ section. Tell customers that if they do not find the answer to their question at that point, they should contact the email address or phone number provided.

Your FAQ section should be easy to use. You may want to list the questions addressed at the top of the section. Make the section easy to navigate through with labeled sections such as 'questions regarding new products,' or 'download problems.' Tailor the question categories to the customer concerns about your products and services. If you think of a question that is not included in the section, go ahead and address the topic. (Don't wait to be bombarded with emails asking the question.)

Things to remember for your FAQ:

• Be respectful
• Answer questions thoroughly
• Be positive
• Post only those questions that you feel will be common areas of interest/confusion
• Care. Tell customers you appreciate their insight.
• Be responsive- keep customers up to date about what your company is up to (new products, product changes.)
• Don't make promises you can't keep
• Provide visitors the option of making suggestions for your site/service/product

Signatures

Signatures create an identity

Your Internet signature contains key information that includes your company name and contact information. Found at the end of email messages, it is a block of text that is short and easy to read.

You have the option of creating several signatures, but it is more effective to keep a consistent message. Your signature reinforces your company brand and can be used at the end of messages posted in newsgroups and other online discussions. Blatant advertising is not acceptable in these areas, so your Internet signature is the way of communicating with potential customers.

Your signature should be between two to six lines, depending on its location. Some mailing lists prefer less than five lines, in which case you have the option of shortening the signature. Signature files should contain basic information, despite length.

What to include in your signature file:

• Company name, address
• Name of sender
• Contact information (phone, fax, email)
• Note: If you include your URL, make sure to begin it with http://. your email program will then be able to create a hypertext link that will take the individual to the site when they click on the address.

And can also include:

• Your company's purpose (what you do)
• Domain name
• Other key information about your company

How to set it up:

Most email programs offer the option of setting up your own email signature. America Online and Outlook, for example, allows you to create signatures and choose a 'default' setting. (If you want your signature to be automatically attached, make sure that the default option has been selected.) Once set up, your signature will be attached to outgoing messages.
